Approval of minutes
approve minutes from November 11, 2019 LaTresha moved for approval of minutes, Molly. seconded, and passed.

Treasurer Report
Report on unpaid dues: 8 remain unpaid, $2250 balance

Kris sending certified letters out to remaining unpaid homeowners by Feb. 1st.  Dues must be paid by Feb. 15th. Hearing offered March 9th to those unpaid by Feb. 15th.  Kris

5155 Burnt Pine landscaping and gate on fence for golf course:  No wood must be iron. Iron gate approved. Jerry: moved approval
Phyllis: second.  Jerry to notify owner

1620 Warwick solar panels:  Kris asking attorney what legal options, if any, in proceeding with this request. Jerry will also follow up.

Covenant Violations

Phyllis to sending out general email about taking down holiday decorations

905 Centennial Club: boat in driveway.  Boat has been removed.

Whistling Straight lot maintenance:  Kris discussing clean up with Greg Lock

*Lost Canyon trash containers not put away until Friday 1/17/20: 5480,5345,5225,5220:  Phyllis sending individual emails about proper container storage.

5135 Lost Canyon: trailer in driveway:  Phyllis sending email

5155 Lost Canyon: pallets in driveway.  Owner says construction ongoing but will be finished next week.

4700 Bay Hill: trailer in woods behind property:  Removed

4330 Bay Hill: trash container left out:  Removed

4220 Bay Hill: trash container left out Friday 1/17/2020: Removed

Old Business

Sliver lot approved tree replacement.  Waiting for spring planting

Reporting Covenant Violations: Week 1 Kris, Week 2 Jerry, Week 3 Steve, Week 4 Harry.  Trying to be more efficient sending violations to Kris

Update on looking for website host:  Phyllis working on reducing monthly fee.  Linda checking on different options.

New Business

Ratify E votes:  There have been none since last meeting.

Holiday light contest winners: The Davis’s: 5320 Lost Canyon, Janet Dollar: 5535 Whistling Straights.  Both winners contacted/paid.

Lights on Fairway entrance: Fixed by Kris

Stamped concrete bid for 2 entrances documents provided at meeting/sent to dropbox. Both quotes included taxes and shipping
Quote for $13,722.40 approved. Molly/moved.  Missy/second

Fox16 reported on bikers being shocked riding under power lines. Entergy investigating.

Speed bumps on Centennial Club Dr.: No longer provided by city.

Meeting was called to order by Kris
Approval of minutes

For monthly meeting of July 15, 2019 – Harry moved for approval of minutes, Linda seconded, and passed. Amy forwards to Phyllis who posts to web.
Financial reports, dues payments

Mindy filed a lien on the Vickers property for failure to pay dues 2018-2019 dues, More covenant violations discussed: ice cream truck, chain-link dog fence that have been ignored. Kris to follow up.

Fence Proposal

Woosley fence proposal. 3ft and 5ft iron gates agreed upon within their property. Jerry moved for approval, Linda seconded, and passed. Jerry will notify owner.

Arrangement for legal counsel

Mindy Pipkin with provide legal assistance to board as needed. Linda moved for approval, Jerry seconded, and passed.  Linda will notify Mindy.

Additional sidewalk cleaning costs

Additional $150 cost for biodegradable solution in addition to the $500 agreed upon made payable to Jason.  Jerry moved for approval Linda seconded, and passed. Jerry will work with contractor

Review of agreement and cost projections with Interactive Security

Discussion of CVNA security system, past actions, current status, and future needs. Steve Scherrey will assist Kris.

Discussion of covenant violation process

Board will review current practices with the goal being adoption of clearer board policy.

Road Repair

Repairing asphalt patches on Centennial Club and Sawgrass Cove.  City should pay for street repairs. Linda to provide website of repair order.

Drainage Ditch

The drainage ditch south of Bay town, between Warwick Hills and Burnt Pine needs to be cleared. It is the property owner’s responsibility. Kris sending a letter stating 60-day deadline.

Motor home removal

Homeowner needs to remove motor home. Kris and Steve are following up with family member to speed up this process
Consolidation of CVNA Records and implementation of Board access

In progress. Kris and Phyllis working on this.
