Board Minutes – June 2026

Board Meeting Minutes, June 8, 2026 

Terri Johnson’s Home 

President Missy Quinn called the meeting to order at 5:35 p.m. Those present: Karla Brassell,  John Mark Guerin, Terri Johnson, David McClain, Deanna Ott, and Melissa Reibe, Steve  Scherrey and Jeannie Stroth.  

  

  • TREASURY REPORT – Jeannie asked for board approval to renew with Farris Agency and  pay for the policy. It is $216 more than last year’s policy (14% increase). Considering what’s  happened with insurance rates, Jeannie thought this was acceptable. She also asked for Board  approval and payment for Board liability insurance in September (renews 9/24). That will be $828.  We will receive that renewal proposal in Sept. A motion was made by John Mark to approve the  payments; David seconded the motion and all the Board approved.  

Sign Update – Invoice should be received end of June and will require one day for installation.  Estimate is $1,800-$2,000. Ethan will receive approval from Missy to pay the invoice and should  be classified in “Special Projects.” 

Jeannie suggested reclassifying the Cutler expenses to “Special Projects.” This includes the  Tyler and Bay Hill improvements, the clearing of dead trees and moving trees to new locations.  Missy will send the invoice to Ethan for payment when received.  

Jeannie discussed the budgeting process for next year. The Board should be thinking about  items to include in the proposed budget. The proposed budget will need to be completed before  the August meeting. Also, Jeannie will coordinate with Ethan to make certain we get our most  current financial statements prepared prior to the August meeting. 

  • VIOLATIONS – Steve stated the “Home Alone” house had been sent two letters regarding  the vehicle with flat tires in their driveway. They were given two weeks to move the vehicle. 

Jeannie stated there are dead trees located at the house across from her house. She requested  they be notified. The Dornblaster house also has a dead magnolia tree that needs to be discussed. 

Jeannie stated that several vehicles are parked across from her house for an extended period of  time. It was discussed there should be a 72-hour time limit for vehicles parked on the street. The  Baker home also has several vehicles parked on the street for an extended period of time. It was  stated that police will ticket vehicles parked across from each other blocking the street. A warning  was given to the Bakers. No response has been received. 

  • BUILDING (ACC) APPROVALS – Stephanie Bittle has requested a new fence approval  that would be designed horizontally rather than vertically. There are no other horizontal fences in  the neighborhood. It is not in the bylaws that this would be a violation. The Board is worried there  will be complaints from neighbors. But since it is not technically a violation, John Mark made the  motion to approve, Jeannie seconded and the Board approved. 
  • OTHER BUSINESS – It was noted Missy, David, and Steve will be rolling off the Board after  the August meeting. Potential new Board members were discussed. Resumes are needed from  those interested.

The annual CVNA meeting has been scheduled for Tuesday, August 11:00 at 6:30 p.m. The same  food and beverages (beer and wine) will be served. Melissa will post the information on Facebook  and email each resident. Missy will provide the video monitor and screen for the presentations. 

New Board member submissions as of this writing are Dayna Gotlieb, Kara Campbell, and Donna  Townsell. The bios must be turned in by Aug 1. 

It was noted there will be no email proxy voting for the annual meeting. Any proxy voting must be  given to someone attending the meeting.  

Jeannie brought up the subject of term limits for Board members. Possibly three (3) year terms  and you can serve no more than two (2) terms. Nothing was approved regarding this discussion. 

It was noted that we need to provide ballots for the annual meeting. 

With no further business to discuss, it was noted the next meeting is scheduled for Monday, July  13 at 5:30 p.m. at Missy’s home. John Mark made a motion to adjourn the meeting, David  seconded, and the Board all approved to adjourn at 6:09 p.m.
